    • Personal appearance of principal/signatory of the document
    • Originally signed document/instrument and one (1) photocopy
    • Original and two (2) photocopies of passport and Hong Kong ID
    • Notarial Fee: HK$280.00 (Express – 1 working day)
                              HK$200.00 (Mailing – 2 to 4 working days)
  • ACKNOWLEDGEMENT OF INSTRUMENTS (DEEDS, POWER OF ATTORNEY, REAL ESTATE MORTGAGE, LETTERS, ETC)
    • Personal appearance of principal/signatory of the document
    • Originally signed document/instrument and one (1) photocopy
    • Original and two (2) photocopies of passport and Hong Kong I
    • Notarial Fee: HK$280.00 (Express – 1 working day)
                              HK$200.00 (Mailing – 2 to 4 working days)

IMPORTANT

  • The above requirements are for one notarized instrument/document. The principal/s may wish to bring multiple original instruments/documents for notarization and attach their passport and Hong Kong ID or other competent proofs of identity for each set.
  • The Consulate reserves the right to require the applicant to produce additional documents, as applicable to his/her case, to help establish his/her identity, and other data in his/her application

Requirements

  • Originally signed instruments or documents (all documents for notarization must be signed by the principal/s and two witnesses.
  • The principal/s may wish to send multiple original instruments/documents for notarization and attach their passport and Hong Kong ID or other competent proofs of identity for each set.
  • One (1) photocopy of instrument/document to be notarized (shall be kept as the Consulate’s copy)
  • Photocopies of at least one (1) Competent Evidence of Identity of the principal/s and 2 witnesses. (Number of copies depends on the number of sets to be notarized.
  • passport, driver’s license, PRC ID, NBI ID, Police Clearance, Postal ID, Voter’s ID, Voter’s Clearance Certificate, GSIS e-card, SSS ID, UMID, PhilHealth Card, Senior Citizen ID, OWWA ID, OFW ID, Seaman’s Book, NCWDP ID, DSWD certification, TIN ID, any valid government issued ID issued by the host government, Philippine ID, IBP ID
  • USB containing the video recording of the principal/s and witnesses signing the instrument/s.
  • One (1) mailing envelope with stamps. Ensure that the mailing envelope fits all the documents. This shall be submitted together with the instrument/document and other requirements.   • Notarial Fee of HK$ 200.00 per copy plus all applicable bank charges. The applicant shall also shoulder all expenses in connection with the remote notarization including all expenses on reproduction of the instrument, delivery, and retrieval thereof by personal or courier service.
  • The appearance of the principal/s and witnesses during the scheduled video conference.

Procedures

Before Video Conferencing

  1. Record a video clip showing the principal signing the instrument/document. If the document requires the presence of witnesses, the video clip must also show that the principal is within the witnesses’ vicinity and range of vision while affixing his/her signature, thumbmark, or other marks on the instrument.
  2. The principal may submit a copy of the unedited video clip, through any of the following means:
    1. By storing in a Universal Serial Bus (USB) device which shall be included in the envelope to be submitted to the Consulate;

    3. Storing in other appropriate digital means of communication (hard drive, cloud, etc.)
  3. In a clean bond paper, please write the following:
    1. Name of principal/s
    2. Name of witnesses
    3. E-mail address
    4. Contact Number
  4. Enclose the signed instrument/s and other documentary requirements as well as the USB and sheet of paper (as mentioned in nos. 1 and 2), inside a brown envelope. Remember to securely seal the envelope and affix the principal/s initials on it.
  5. Submit the sealed envelope containing the signed instruments and requirements to the Consulate either by representative or courier.
  6. Receive a video conferencing notice and payment instructions at the provided e-mail address.
  7. Pay all applicable fees and send a copy of the validated deposit slip/transfer confirmation to This email address is being protected from spambots. You need JavaScript enabled to view it..
  8. Receive a confirmation e-mail with video conferencing / meeting ID.
  9. Appear before the Consulate’s commissioned officer on the given video conference schedule. Please note that the principal/s and witnesses must be present and ready to present the original competent proofs of identity during the video conference.

During the Video Conferencing

  1. Log on to the video conferencing platform using the provided meeting ID,
  2. Appear before the Consulate's Commissioned Officer.
  3. Confirm the following:
    1. Identity
      1. By presenting competent evidence of identity; and
    2. Location
      1. By showing your geolocation through an application with GPS capabilities; or
      2. By showing identifiable landmarks or buildings within the vicinity.
  4. Confirm that the instrument/document exhibited is the same instrument/document sent to the Consulate for notarization.
  5. Affix signature on a blank piece of paper within the full view of the Commissioned Officer.
  6. Confirm that the signature appearing at the end of the instrument/document belongs to the principal and was voluntarily affixed for the purposes therein.
  7. Avow to the whole truth of the contents of the instrument/document under penalty of law. (Applicable to affirmation, oath, or jurat only).
  8. Declare the instrument/document was executed as his/her free and voluntary act and deed.

If the instrument/document requires witnesses, the witnesses must also be present during the video conference. In addition to the abovementioned procedures, the witnesses shall be required to:

  1. Confirm the following
    1. Identity
      1. by exhibiting to the Consulate’s Commissioned Officer their original proofs of identity; and
    2. Location
      1. By showing your geolocation through an application with GPS capabilities; or
      2. By showing identifiable landmarks or buildings within the vicinity.
  2. Answer questions to prove that they are disinterested and unaffected persons of the instrument/document.
  3. Confirm that the witnesses’ signatures found therein belong to him/ her as witnesses of the instrument/document and that it was of his/her free and voluntary act and deed.
  4. Declare that he/she personally witnessed the principal/s voluntarily signing the instrument or document.

After Video Conferencing

  1. Collect the notarized document at the Consulate through a representative or receive it at the preferred mailing address via Hong Kong Post.

IMPORTANT

  • The turnaround time of notarized instruments will depend on the completeness of requirements. The estimate is around 8 to 10 working days from submission.
  • The applicant shall shoulder all the expenses in connection with the remote notarization including all expenses on reproduction of the instrument, delivery, and retrieval thereof by personal or courier service on top of the actual notarization fee and applicable bank charges.
